Quickbooks

A step-by-step guide to setting up a Quickbooks integration.

Pre-requisites

Here’s what you’ll need to connect to Quickbooks:

  • An active QuickBooks Online admin account
  • The username and password for your account
  • The ability to receive confirmation codes for your account

Supported data

Runway reads these financial statements from Quickbooks:

  • Income Statement
  • Cash Flow
  • Balance Sheet

How data is handled

The data pulled from Quickbooks is converted into databases in Runway, letting you connect drivers to line items in these financial statements.

Runway supports read-only integrations. We don’t write any data back to Quickbooks.

Connecting to Quickbooks

  • Go to the Integrations Directory in Runway. Quickbooks is listed as a featured integration—click + Set up to begin.

  • Authorize the new schema name. We recommend keeping the default name as-is.

  • You’ll be directed to our integration partner, Fivetran, to connect your Quickbooks instance. Once redirected, sign in to your Intuit Quickbooks account.
  • Once that’s done, you’ll be redirected back to Fivetran. Select Save & Test.
  • You’ll then be redirected to Runway, the initial sync will begin, and a new database will be created.

Pulling data from Quickbooks

Pulling in data is as easy as filling out a quick form.

  • In a New Query window, use the Assistant to select the report you want to pull in.
    • Make sure to match the name of your query with the type of report you’re bringing in—it’ll be used to name your database later on.

  • [Optional] If you’d like to segment your data, you can segment your ‘Income Statement’ by ‘Class’ or your ‘Balance Sheet’ by ‘Vendor.’ These will feed into dimensions in Runway.
    • Most Quickbooks instances use ‘Class’ to represent departmental data, but this can differ based on your setup.
    • If you have questions, please reach out to your CX crew member for assistance.
  • Click Run to test your query. Doing so will return a limited number of rows, so you can familiarize yourself with the schema and how it’s represented in Runway.
    • If the data looks good, update the limit field to the total number of rows.
    • To be safe, you can also enter a Very Large Number™️ like 1,000,000.
  • You should now see a new database on your left nav bar in Runway, with the same name that you’d entered for your query in step 1.

Can I pull other types of data from Quickbooks?

Yes! Our integration is built to be highly customizable. The starter queries above fit most use cases, but we also support writing your own SQL queries leveraging this Quickbooks schema. Not a SQL expert? Not a problem—your CX crew member can help shape your data exactly the way you need.

 

Can I connect multiple instances of Quickbooks?

Absolutely. To add more instances, go to the Integration Directory in Runway. Click Installed and then select Set Up. You’ll be prompted to go through the same authentication flow as before—select the new instance and follow the steps listed above.
